Update a Users Profile Settings

As an office manager, you have the ability to view and update other users' information. Within the Users tab, you can easily access all of the people in your company on the Client Portal. Users display in this section by name, extension number, and department.
The default number of users displayed is 15. You can change the amount to 25, 50, or 100 per page. Additionally, you can use the page number or arrow keys to scroll through pages.
By selecting Hide System Users at the bottom of the screen, any auto-attendants, call queues, ring groups, etc. become hidden.
You can quickly find users by searching for them using their name or extension. By entering a department in the search box, you can filter users by their role in your company.
To view or edit a user’s profile, answering rules, voicemail, and phones, you can click their name or the pencil icon.
Clicking on the pencil icon brings up a quick-access drop-down menu.
Alternatively, clicking on a user’s name opens a new view with the same access points, but in a tab bar.
If at any point you wish to navigate back to the main page of the Users tab, you can click Users in the main tab bar or click Users next to the name of the user you are currently viewing.
How to Edit a Users Profile
As an office manager, you have the ability to update any user’s profile information.
- Click on the Users tab.
- Find the user’s name that you would like to date and click on their name.
- Update or change any information in the user’s profile.
- After you have made changes, click Save.
How to Change a User's PIN
Users can change their own PINs once they are logged into the Client Portal. If a user forgets their PIN, you can change it for them.
- Click on the Users tab.
- Find the user’s name that you would like to date and click on their name.
NOTE: You can search by a user’s extension or name using the search bar on this page. - Scroll down to the Change PIN sectionof the profile settings menu.
- Let the user change their PIN or change their PIN for them.
- Click Save
SEND A WELCOME EMAIL TO NEW USERS
There are two methods of sending welcome emails.
1. Send to an individual user.
2. Send bulk to multiple users.
SEND TO AN INDIVIDUAL USER
You must be in "Manage Organization" view to access the Userstab.
1. Click the Users tab.
2. Search user by name or extension number.
3. Click either the pencil-icon buttonon the right-hand side of a user's name and then Advanced, or clicktheir name and navigate to the Advanced tab.
4. Click Send Welcome Email.
SEND BULK TO MULTIPLE USERS
You must be in "Manage Organization" view to access the Userstab.
1. Click the Users tab.
2. Scroll through the User's list andclick the checkmark box next to their name; you can also click the checkmarkbox next to "Name" at the top of the list to select all.
3. When all the users are selected, click the Bulk Action in thetop right corner.
4. Click the radiobutton for Send Welcome Email.
5. Click Complete Action.
HOW TO CHANGE A USER'S PASSWORD
As an office manager,you cannot set a user'spassword as they are designedto be secure and only accessible for individuals toupdate.
There are two methods of forcingpassword resets.
1. Send to an individual user.
2. Send bulk to multiple users.
SEND TO ONE USER
You must be in "Manage Organization" view to access the Userstab.
1. Click on the Users tab.
2. Find the user’s name that you wouldlike to update and click on their name or the pencil icon the right side, then Advanced.
NOTE: You can searchby a user’s extension or name usingthe search bar on this page.
3. Ensure you are under the Advanced tab.
4. Click Force Password Reset.
SEND BULK TO MULTIPLE USERS
You must be in "Manage Organization" view to access the Userstab.
1. Click the Users tab.
2. Scroll through the User's list andclick the checkmark box next to their name; you can also click the checkmarkbox next to "Name" at the top of the list to select all.
3. When all the users are selected, click the Bulk Action in thetop right corner.
4. Click the radio button for Force Password Reset.
5. Click Complete Action.
HOW TO CHANGE A USER'S VOICEMAIL GREETING
Sometimes peoplecall into work sick at the last minute, or they have some kind of emergency andhave to rush out early. Whatever the circumstances—it's easy to change a user's voicemail for them.
HOW TO CHANGE A USER'SVOICEMAIL GREETING
Similar to allvoicemail greetings you have the option to record a new voicemail or record anew one. As an office manager chan
1. Once logged into the SONAR portal, click the Users tab.
2. Choose the contact for whom you want to change the voicemail greetingand click eithertheir name or the pencil icon on the righthand side of their name.
3. Click the speaker icon under the Greeting section tomanage recordings.
4. You can eitherchoose an existingvoicemail, put a new one in their portal througha .mp3 or
.wav file upload.
Recordings will call the extension or number specified, follow the voiceprompts. For uploads, click upload before saving.
5. Click Done.
6. Click the drop-down menu and select the voicemail greeting.
7. Click Save before leaving the page.
